POSITION: Program Assistant
HOURS: 35 Hours per week
Pay: 17.55 per hour
Job Summary:
We are seeking a highly organized and motivated Program Assistant to join our team. The Program Assistant will be responsible for supporting our Consumer Directed Personal Assistance Program and Department.-
Associates Degree in clerical or administrative field and two years of experience in a clerical or administrative position, strongly preferred. An equivalent combination of education and experience may be substituted.

Ability to multi-task, plan and prioritize work tasks and work effectively in both a team and individual setting.

Excellent interpersonal and communication skills.

Excellent computer skills and knowledge of Microsoft Office applications, especially Excel.

Excellent attention to detail and organizational skills.

Knowledge of community based long term care services preferred.

Strong commitment to the integration of people with disabilities into all aspects of community life.
Responsibilities
-
Provide general clerical support and assistance to the CDPA department including but not limited to:
-
Producing and/or assisting with departmental bulk mailings
-
Preparing and maintaining program documents, forms and Intake/Enrollment Packets
-
Prepare consumer intake packet for initial intake and distribute to intake staff member(s)

Process Personal Assistant Information Forms and conduct CDPA Personal Assistant (PA) Enrollment Meetings, including:

Order medical from Occupational Medical providers if necessary

Verifying that PAs have completed all CDPA and Human Resources requirements and submitted requisite medical documentation before they begin working

Notify both Consumers and PAs when a PA is authorized to begin working.

Conduct Annual Mandatory trainings with PA’s and /or assist other staff member(s) conducting trainings and track required paperwork.

Maintain contact with consumers and personal assistants through phone calls as needed.

Follow-up on pending consumers and PAs and track/update information in shared spread sheet.

Collect information from consumers and post available PA positions online.

Maintain PA shared information spreadsheet and send to consumers when requested

Work cooperatively with Broome County CASA/OFA, Tioga County DSS and Managed Care Organizations to maintain program quality.

Immediately report actual or suspected consumer and personal assistant misuse of the program and/or fraud to supervisor, Assistant Director, Executive Director or Quality Management Specialist.

Accurately generate and process FYIs as necessary to notify CDPA staff, HR, Payroll & Billing of Consumer/PA status changes.

Attend all mandatory agency trainings, meetings, sign language class and advocacy groups.

Maintain accurate program service records including timely filing and data entry into CIL Data 2 database, collecting statistical data and preparing program reports as required.
